Job Advert for the Position of Administrative Officer

Uganda Technology and Management University (UTAMU) is seeking an experienced and qualified individual to take up the role of Administrative Officer. The successful candidate will play a pivotal role in coordinating the provision of Administrative and support services.

PURPOSE OF THE JOB

To coordinate the provision of administrative and support services.

DUTIES AND RESPONSIBILITIES

  1. Coordinate and provide high-quality secretariat services to the University Council/Board, its Committees, and Management Committees.
  2. Prepare, compile, and manage agendas, minutes, resolutions, and official records of the University Council and Committees in accordance with University statutes and governance procedures.
  3. Ensure timely follow-up, tracking, and reporting on implementation of Council and Management resolutions.
  4. Maintain accurate, up-to-date, secure, and confidential University records in both electronic and hard copy formats, in compliance with data protection and record retention requirements.
  5. Maintain custody of MoUs, contracts, partnership agreements, accreditation documents, licenses, and regulatory approvals, ensuring accessibility and audit readiness.
  6. Support the University Secretary in initiating, reviewing, updating, and implementing University statutes, policies, procedures, and administrative guidelines.
  7. Interpret and guide implementation of Council-approved policies and administrative decisions across the University.
  8. Interprets, guides and coordinates implementation of Council administrative policies and related resolutions.
  9. Monitor implementation of human resource policies, including staff welfare, maintenance of staff records, benefits administration, and contract documentation, and advise the University Secretary accordingly.
  10. Drafts and circulates administrative pronouncements arising out of Council deliberations and resolutions.
  11. Undertakes any other official duties as assigned by the University Secretary.

Education and Qualifications:

  1. A Bachelor’s Degree in a relevant field such as Law, Social Sciences, Social Work and Social Administration, Business Administration (Management) and Public Administration and Management from a recognized university.
  2. A certificate in Administrative Law will be an added advantage.
  3. Excellent computer skills, including knowledge of Microsoft Office and other relevant software applications

Experience:

  1. At least three (3) years working experience in an administrative role in a reputable organization
  2. Should have high integrity with extensive leadership skills.
  3. Experience in managing an office and providing administrative support
  4. Experience in drafting and reviewing correspondence, reports, and other
  5. Documents.
  6.  Experience in liaising with internal and external stakeholders
  7. Strong attention to detail
  8. Ability to work under pressure and meet deadlines
