Advert for the Position of a Senior Accountant

Uganda Technology and Management University (UTAMU) was licensed on March 11, 2013 by National Council for Higher Education (License Number: UIPL022) to operate as a Private University in Uganda. UTAMU was established with the purpose of making a difference in the training of Technology & Management professionals within the region. To achieve its mission and strategic goals, UTAMU seeks to fill the position of AN ACCOUNANT.

  1. DUTIES
    The duties of an Accountant are to:
    1. Attend to student debtors, receipt all payments and ensure Up-to-date entry of Account Receivables into the accounting system according to agreed framework.
    2. Post all transactions on a daily basis and ensure proper classification as per accounting system.
    3. Develop and maintain a filing system for financial information and documents and information (electronic and otherwise) that will facilitate easy, storage, retrieval and ensure the safety of the said documents
    4. Draft minutes of meetings for Finance department for review and approval and help in follow up of resolutions of issues raised.
    5. Support verification of inventories and reconcile any discrepancies if any.
    6. Liaise with the E learning Officer and the Registrars to ensure that all enrolled students are cleared by Finance Office.
    7. To prepare monthly Tax and NSSF schedules and returns and ensure timely payment and filling with the relevant authority and give feedback of any challenges thereof.
    8. To prepare monthly receivable and clock in reports
    9. Prepare Part time Lecturers, BOD, Council and Committee meetings and allowances schedules.
    10. To prepare cash count certificates.
    11. Participate in the preparation of the University Budget and projecting processes.
    12. Participate in planning and budget consolidation by providing supporting documents and facilitating other staff
    13. Asset management – Ensuring all assets are labelled, well maintained and up to dateregister, deployment and disposal
    14. Ensure that all financial transactions conform to the agreed sound financial management system (Financial Manual) and where necessary advise the University Controller to review existing policies.
    15. Prepare monthly bank reconciliations statements of all the bank accounts of the University.
    16. Maintain professional relationship with the bank and ensure all necessary support and feedback needed from the bank are timely communicated.
    17. Support the University Controller to follow up on implementation of audit recommendation with responsible persons and updating action taken and any challenges thereof.
    18. Supports the University Controller to help staff understand financial e.g. Documents financial policies, systems and procedures in the University.
    19. Assisting in any other aspect of the Finance and Administration Directorate from time to time.
  2. PERSON SPECIFICATIONS
    1. Applicants must possess a minimum of a Bachelor’s degree or equivalent in the respective discipline. 
    2. A minimum of 3 years of relevant experience in a reputable academic and / or corporate or government institution. 
    3. CPA member ship will be an added avantage
  3. REQUIRED ATTRIBUTES
    The position of an accountant requires the following attributes:
    1. Academic credibility, intellectual and creativity and innovation
    2. Being a team player with strong organizational, interpersonal and communication skills
    3. Ability to listen and attend to interests of students, staff and stakeholders
  4. APPOINTMENTS
    The accountant shall be appointed on terms and conditions determined by the University Council for a term of three (3) years and shall be eligible for re-appointment.
  5. REMUNERATION
    An attractive remuneration package shall be paid in accordance with university terms and conditions of service
  6. EMPLOYMENT CONTRACT
    Upon acceptance of the job offer the successful candidate will be required to sign a contract of employment with Uganda Technology And Management University (UTAMU) setting out the terms and conditions of employment.

To achieve its mission and strategic goals, UTAMU seeks to fill the position of AN ACCOUNANT ASSISTANT.

  1. DUTIES
    The duties of an Accounts Assistant are to:
    1. Prepare payment vouchers for approved transactions and raise checks for review by the University Controller and approval by the Vice Chancellor and advise the head of department on further action to complete the transactions.
    2. Manage petty cash payments, accountability and reporting
    3. Support the total adherence to the financial system by all staff and service providers. In particular, ensure proper utilization of accountability of all University monies that have been entrusted to all staff and other persons.
    4. Maintain a stock register of housekeeping items and stationery and prepare a monthly report.
    5. Process payment of salary and ensure deposit of staff salary to their respective accounts   pay slips issued to staff and respond to feedback thereof
    6. Help in retrieval of financial documents for presentation to both internal and external auditors and answer audit questions, if any, on the documents.
    7. Develop and maintain a filing system for financial information and documents and information (electronic and otherwise) that will facilitate easy, storage, retrieval and ensure the safety of the said documents
    8. Support timely compilation, submission of draft accounts postings and reports any challenges to the University Controller to support timely submission of management reports to key stakeholders.
    9. Full participation in budgeting and projecting processes. Participate in planning and budget consolidation by providing supporting documents and facilitating other   staff.
    10. Manage University creditors, ensure timely payment of utilities and other statutory obligation and -prepare monthly reports.
    11. Ensure Up-to-date entry of Account Payable and petty cash into the accounting system according to agreed framework.
    12. Update staff on the overdue amount of the advances for immediate settlement and get recommendation for any challenges to support management decision.
    13. Post all transactions on a daily basis and ensure proper classification as per accounting system.
    14. Support verification of inventories and reconcile any discrepancies if any.
